Authorized persons must always use their Cornell credentials and are prohibited from sharing personal email addresses, phone numbers, or social media handles.
At least two authorized persons must be present during live sessions. If this is not feasible, a supervisor must have the link and be able to drop into the call at any time.
Access to virtual sessions must be configured so that an authorized person admits participants individually, helping prevent unauthorized guests from joining. Programs should consider displaying only participants' first names.
Private messaging functions should be disabled whenever possible. Participant communications should be visible to authorized persons and capable of being monitored.
If you utilize breakout rooms, an authorized person must be assigned to monitor each separate room.
Parents/guardians should be provided with access information for all virtual meetings and programs and should be able to see the program content and interactions.
Limit access to participation by password, invitation, and/or authentication, and have policies in place to discourage sharing this information.
Prior to the start of the program, participants should receive guidance regarding behavioral expectations, online safety, and confidentiality.
All authorized persons should be prepared to end or suspend a session in the event of inappropriate participant behavior, inappropriate adult behavior, or unauthorized disruptions (i.e., “Zoom-bombing”).
Authorized persons and program participants should use a neutral background, such as a blank wall or an approved virtual background.
Recording online sessions is strongly discouraged unless there is a programmatic, educational, or training-related need. If a session will be recorded, informed parent/guardian consent must be obtained in advance. Recordings must be stored in approved university clout storage and may not be saved to personal devices.
Minors may not engage in activities involving hazardous materials, hazardous equipment, or mechanical tools during a virtual program.
