Third-Party Covered Camps and Programs Checklist

3rd Party Program Directors of programs and camps involving children and youth are required to complete each task and demonstrate completion before the 3rd party program or camp can begin.

1) Contact a Cornell University Sponsoring Office or Conference Event Services and receive a Sponsor for your Children and Youth Programming.

2) Read and understand  University Policy 8.8, Children and Youth Safety           

3) Contact the Children and Youth Safety ("CYS") Program Administrator at youthprogramadministrator@cornell.edu to register your program or camp and discuss policy requirements.

4) The CYS office will:

  1. Register your program/camp

  2. Collect Certificate of Insurance

  3. Collect the completed signed contract

  4. Collect the Cornell University signed permission hold harmless forms

  5. Collect a list of participants or campers

5)  Confirm with the Children and youth Safety Office that the necessary criminal background checks and sex offender searches have been completed on all employees and volunteers

6) Complete the RMI101 Protecting Children: Identifying and Reporting Sexual Misconduct course and RMI103 Boundary Training for Educators

7) Confirm all employees and volunteers participating in the program or camp have completed the RMI101 and RMI103 courses.

8) Hold additional training sessions regarding University Policy 8.8 and reporting obligations for incidents involving child or youth

9) Confirm participating employees and volunteers have read and understand University Policy. 8.8

10) Confirm participating employees and volunteers know and understand how to report an incident involving a child or youth.

11) Obtain a 3rd Party facility agreement: the Office of General Counsel and Office of Risk Management and Insurance can answer any question regarding 3rd party facility agreements

12) Return a copy of the signed 3rd party facility agreement to the Children and Youth Safety Program Administrator

13) Forward 3rd party certificate of insurance to the Children and Youth Safety Program Administrator

14) Confer with the Children and Youth Safety office regarding requirements for releases and permission slips

15) Collect the signed Cornell University release and permission slips for each participant

16) Email the signed Cornell University release and permission slips to the CYS Program Administrator.

17) Contact the Children and Youth Safety Office to confirm compliance with University Policy 8.8 and this checklist
